5 Ways to Improve On-Time Delivery Performance

Whether you run a small, up-and-coming company or manage a thriving corporate empire, one of the biggest indicators of your business’s success is your on-time delivery performance. On-time delivery or OTD refers specifically to the ratio of orders shipped on or before the promised delivery date.

With powerhouse Amazon able to ship and deliver goods within a lighting 1-2 business days, consumers have higher expectations than ever. Regardless of your product quality, failure to meet delivery expectations can and will cost you repeat business.

In order to compete with big players like Amazon, you need to create a streamlined logistics process and be open to constant audits of your internal efficiency.

A complete logistics overhaul might sound daunting, but don’t panic. Here are a few foolproof ways to improve your on-time delivery performance.

1. Request Customer Feedback

A recent report from logistics software Shipstation found that 80% of consumers surveyed identified the quality of the shipping experience as their top e-commence concern. Further questions revealed that the perceived quality of the shipping experience is not necessarily linked with the speed of shipping, as many consumers were willing to wait longer for lower shipping costs.

The key is meeting customer expectations. Set up an online feedback form that is automatically emailed to clients upon completion of the transaction. By actively soliciting feedback from customers, you can identify their biggest pain points and where expectations were not met.

2. Invest in a Logistics Dashboard

While customer feedback is helpful, a datapine’s logistics dashboards are a more scientific way to help you identify issues with your on-time delivery performance. A logistics dashboard is an innovative tool that allows you to monitor and identify trends in your distribution process, from warehouse processes to operational costs, in real-time.

An effective logistics dashboard will allow you to personalize the metrics shown, giving you control over how you view your data. One vital KPI to monitor is your loading time and weight, as knowing how long a vehicle takes to be loaded based on weight will help you improve loading time estimates and ensure delivery time is as accurate as possible.

Additionally, if you find that loading time is significant, you may be able to determine overstaffed areas of your business (based on dashboard indicators) you can reallocate manpower from when needed to fulfill heavy orders.

3. Identify Reasons for Late Delivery

Identifying that you are missing the mark when it comes to your OTD performance is just the first step.

The next step is troubleshooting the reasons behind it. You can do this by establishing a set method for your staff to record and report issues that impacted delivery for each order. Issues can be broken up into several common categories, such as product availability, fleet availability, weather conditions, etc.

Once you’ve established the key reason for failure to meet delivery expectations, you can create the best plan of attack. A logistics dashboard, discussed above, can also help you identify and log these issues.

4. Find Purchasing Patterns

Founding Father Benjamin Franklin famously said, “by failing to prepare, you are preparing to fail.” This quote highlights the importance of preparation when setting and meeting your delivery goals.

Through the act of consistently monitoring trends in sales, you can establish patterns in purchasing. For example, if you routinely ship flowers and gifts, it’s safe to assume that your deliveries will peak around holidays, such as Christmas and Mother’s Day. If you sell wet weather gear, sales between November and January will increase.

Armed with this data, you can ensure that you have adequate transport, personnel and stock in the warehouse to meet demand before the spike occurs.

5. Don’t Overextend Yourself

It may be tempting, particularly if you have a small or new business, to take on every shipment request that comes your way, including huge corporate orders.

While establishing new partnerships and growing your company is paramount to success, it cannot come at the cost of quality. If you take on tasks you do not have the resources to complete in a timely manner, you will burn bridges with clients you may be more adept to service in the future.

It’s vital to make a realistic assessment of the amount of work you can take on at any time, that includes notifying clients if you are able to deliver the order but require a longer turn-around time.

In the extremely competitive world of e-commerce and logistics, reliability is key. With just one delivery hiccup enough to permanently turn away clients, you owe it to your business and stakeholders to implement, monitor and regularly audit your on-time delivery performance procedures.

By following the above five steps, you will be able to identify the weak spots in your current logistics strategies and tailor solutions to suit your business.

What HR Pros Can Do To Increase Employee Engagement Levels

Employee engagement has a major impact on employee retention as it ensures employees stay dedicated to achieving business goals. When employees are engaged, they sincerely invest in their work and try to perform to the best of their abilities.

The HR professionals of an organization are responsible for ensuring employees stay engaged by providing them the environment to grow and the right skills to fulfill their duties. In light of the COVID19 pandemic, it has become difficult to keep employees engaged.

This disengagement can be credited to a lot of factors. Firstly, working in isolation to comply with the social distancing norms leads to employees feeling lonely and depressed. Secondly, lack of effective communication can cause inconsistencies in work processes leading to employees feeling confused.

Keeping in mind all such factors that affect employee engagement levels, here’s what HR pros can do to improve it:

  • Keep communication channels open:

Disengagement often occurs when employees don’t have the right information or a source to get their facts right. HR pros must ensure employees know how to reach out to them. When it comes to remote teams, managers are equally responsible for keeping in regular touch with employees.

If employees do not feel comfortable sharing their opinions, it can soon lead to them feeling stuck. This makes it vital for HR pros to communicate often and ensure there are open channels of communication so employees can reach out for all kinds of issues.

  • Automate tasks:

One of the major reasons for employees feeling disengaged in both office and remote work set up is the amount of time spent on manual processes. For instance, employees need to be equipped with tools that allow them to move quickly through the process of getting a leave approved.

It is important to automate manual tasks in order to save valuable employee time. When employees have access to the right tools and are able to execute tasks efficiently, they feel empowered and stay engaged.

  • Provide growth opportunities:

Understanding employee learning needs and giving them opportunities to grow is one of the best ways to enhance employee engagement levels. Training helps employees learn better ways to perform their job.

With the availability of online learning courses it has become very convenient to provide L&D opportunities regardless of employee location. Moreover, employee training & engagement softwares like Performance Pro make it easy to measure employee engagement and highlight areas for improvement.

  • Celebrate often:

Being acknowledged for their good work is a major contributor to employee engagement. HR pros need to publicly appreciate an employee’s good performance and reward them for it.

Celebrating an employee’s efforts is a great motivator and keeps them engaged. It also pushes others to up their game and perform better in order to receive public recognition and rewards.

  • Organize group activities:

In these trying times, ensuring employees feel the social connection is necessary to increase engagement levels. Group activities are a great way to bring everyone together (virtually) and boost activity through healthy competition.

Organizing debates, challenges, trivia contests, and virtual games makes everyone feel inclusive in the company culture and also helps in building connections. This also helps in enhancing collaboration between employees.

  • Check in on employees often:

HR pros need to support employee mental health along with their overall well being in order to ensure employees have a positive experience working with the company. This means checking in on them often to understand if they are facing any setbacks.

This makes you aware of any issues an employee may be facing and take steps to resolve those issues. Personal attention and quick resolution make employees feel cared for.

Conclusion:

As a HR pro, it is your responsibility to empower and inspire employees to stay engaged. We hope the above mentioned strategies will help you ensure employees stay emotionally committed to your company.

Does Your Business Need a Data Protection Officer?

Your typical C suite had a very particular makeup prior to the information age. You had your chief executive officer (CEO), chief financial officer (CFO), chief operating officer (COO), and so forth. But the introduction of the internet as a commercial entity forever changed that. Today’s executive teams also include Chief Information and Chief Technology Officers. Some companies even require a Data Protection Officer (DPO).

Does your company need a DPO? There are both legal and practical answers to that question. Both are rooted in the EU’s General Data Protection Regulation (GDPR) implemented back in 2018. Under the regulation, certain types of organisations are required by law to have a DPO. Even if the law doesn’t apply directly to your company, there may be very good practical reasons to have a DPO anyway.

Defining the DPO

The GDPR’s definition of a DPO is not complicated. In summary, this individual is ultimately responsible for guaranteeing that his or her company is maintaining compliance with all aspects of the GDPR. The DPO determines data retention periods, authorizes workflows relating to data access, develops policies for how data is collected and used, develops and implements policies to protect customers, and so forth.

Technical requirements dictate that the DPO has a solid understanding of how data systems work. Though someone with a background as a CTO or CIO could fill the DPO role, it is better at this time to go with someone who has special training in this particular area.

In the absence of hiring someone, a company can seek out GDPR DPO as a service. In other words, a company contracts with a consulting firm to function as its DPO. The consulting firm handles all the functions on behalf of a company officer to whom it reports.

The DPO and GDPR

The GDPR clearly spells out specific organisations required to have DPOs. There are three broad categories mentioned in the regulations:

  • Public Bodies and Authorities – This includes all government agencies as well as NGOs that do work on behalf of government entities.
  • Processing Operations – Organisations in this category must have a DPO because their core activities consist of processing operations that make use of protected data on a significant scale.
  • Special Data Processing – Organisations in this category must have a DPO because their core activities involve routine processing of special types of data on a significant scale. Organisations that process criminal data are a good example.

If it seems like these three categories are rather broad, it is because they are. So how is a company to know if it is required to have a DPO by law? By either checking with the appropriate authorities or working with a consultancy specialising in compliance issues.

Practical Reasons for Hiring a DPO

Despite such broad guidelines for determining whether or not a company must hire DPO, a fair majority of small businesses around the world can get away without having one – at least where a direct legal requirement is concerned. Nonetheless, there are still practical reasons for having a DPO.

For starters, any company that does outbound marketing as a core business component is skirting that legal line. It doesn’t make sense to risk being out of compliance by not having a DPO. As they say, better safe than sorry. Collecting and storing data for outbound marketing purposes almost certainly qualifies as data collection on a significant scale, so why take the risk?

Other practical reasons for bringing on a DPO include:

  • Providing outsourced business services relating to human resources, IT, and sales and marketing. Significant volumes of personal data are required to provide such services.
  • Transferring large data sets on behalf of third parties. Companies should be especially concerned in this regard if the data they transmit goes to global destinations. Remember that companies must comply with the GDPR if any of the data they collect is either stored in the EU or EEA or is from individuals residing in those two regions.
  • Providing security services. Because CCTV and other types of recording and monitoring services generate identifiable information, it is a wise idea for companies in the security sector to have an experienced DPO who knows how to protect that information.

Even without a DPO on staff or a contracted DPO service, companies are still expected to comply with data protection law. This is yet another practical reason to consider bringing on a professional. The law is very specific about how data can be collected and utilised. It is very specific about how individuals are to be protected. Companies need a person who understands the law intimately.

Failure to Comply

If your company still needs a reason to consider having a DPO on staff, failure to comply could be enough motivation. The GDPR includes harsh penalties to be enforced against organisations that do not follow the regulations. At the top of the scale are hefty fines that could amount to as much as $20 million or 4% of the company’s annual turnover.

Even small businesses can face significant fines for not maintaining compliance. In the most egregious cases, individuals within a company’s management team could be held liable as well. In short, the GDPR is nothing to mess around with.

Compliance is also a good thing from a public image standpoint. Companies should want their customers to feel comfortable that they are protecting personal data at all costs. All it takes is a single data breach to lose the trust a company has established among its customer base. Maintaining compliance at all times reduces the risk of a security breach while simultaneously solidifying that particularly important trust.

Does your organisation need a DPO by law? If it falls under one of the three categories listed in this post, then a DPO is required. And if not, there are a host of practical reasons to have a DPO anyway. Organisations can hire a DPO directly or contract with the consultancy that offers DPO as a service. One way or the other, public and private organisations alike are required to comply with the GDPR whenever dealing with personal information from EU or EEA customers.

What Does Golfing Have to do With Business?

There are more than 24 million golfers in the US and nearly 10,000 golf courses. And while many golfers think of golf as merely a pleasant past-time, many businessmen like Shalom Lamm, the real estate developer in New York, think of golf as an outdoor business meeting.

It takes typically 3 and a half or 4 hours to conduct a round of golf, while generally, most business meetings take significantly less than 45 minutes. So the parties have plenty of time to engage with each other. not just rush to meet.

Another unique factor is the limit of the players. Often no more than four players at a time will play, and even if another four remain in their golf cart, the entire party consists of a maximum of 8.

At many traditional business meetings, everyone from the president to the legal counsel, the marketing manager, and more are fully represented, with as many as 12 people represented for each side. As a result, golf business meetings are much smaller and represent only the key players.

As Shalom Lamm notes, conducting a business meeting on a golf course is a time-honored tradition. And naturally, golf meetings lighten the mood. In particular, if businesses have been antagonistic to each other, having something to do besides stare at each other face to face tends to significantly reduce the animosity.

One way to accelerate the flow of business in a natural way is to mix up the players on a cart. The CEO of the Company should golf and ride in the cart with the CEO of the other business represented rather than with his attorney or another major member of his own management team. Pairing the decision-makers together helps cut through a lot of the red tape.

Another good reason why golf as a business meeting is a great idea is that there are no PowerPoint slide presentations and no business charts. Many people discover that at a typical business meeting, Powerpoint presentations and charts and graphs tend to confuse the main issues rather than to make them clear.

During a golf meeting, without so many people and without all the charts and hoopla, the two parties can often get down to the main sticking points. And sticking points are often the real problems with business meetings. And since you’ll be on the course for several hours together, there is no need to rush. Both parties, of course, understand the general purpose of the meeting is not to see who is the better golfer, but to bridge gaps between one another to conduct business.

And if your purpose for being on the links is not to close a deal immediately but to see if the companies can form a bridge towards working within one and another, then consider hosting a network golf event where you have as many as 12 or so foursomes just getting to know one another. Golf is a great way to accelerate business and there are relatively few companies that don’t relish getting to know one another.

10 Things About CCaaS You Don’t Know

Businesses have changed the way they used to do things a decade ago. There is a rising need for businesses to adjust to new events, considering that customer expectations are also changing. Businesses need to do a lot of things to keep up with competition and improve their revenue. One of the main important factors in business is proper communication. The way a business interacts with the staff, investors, and customers plays a vital role in its growth. Today, many businesses have incorporated the CCaaS (contact center as a service) software to provide their customers with a streamlined communication experience. CCaaS is a replacement for the traditional in-house contact center. The following are 10 things about CCaaS you don’t know about.

1. CCaaS Allows Organizations to Manage Multichannel Customer Interactions

In every business, customers call for various needs that need to be attended to promptly. Having software that can provide multiple services at once is one perfect way of improving efficiency and effectiveness in the organization. Some of the services an organization benefit from the software is customer service help desk, employee support center, telemarketing centers, and any other structured operation. The good thing about the software is that it is customizable to meet all the organization’s communication needs.

2. The Total Cost May Decrease of Increase Depending on Number of Agents

The total cost of owning the software varies with the number of agents an organization has. The customization factor helps businesses to save on upfront and other costs. Having the center based on cloud storage doesn’t need enterprises to buy some space for the servers. This means that they are able to save on the initial costs of having the software. Aircall clearly explains that the charges of using CCaaS will be based on the features a business uses and the number of agents it has. Therefore, it is advisable to eliminate the idle slots not in use to reduce the cost. You can go to their website here to get more information.

3. CCaaS Offers Versatility

The traditional contact center required calls to be made directly in the center. This means that the empty slot of agent absence was not accounted for. However, the cloud-based center brings versatility such that an agent can receive or make a call regardless of where they are. They can use their personal phones and computers to interact with the customers and this is a perfect way of improving business efficiency. Another great thing is that organizations don’t need IT members considering that the servers management is done remotely through the service provider.

4. CCaaS Improves Customer Experience

Customers are the backbone of any business. Therefore, there is a need to provide the best experience to them. This requires providing a user-friendly way of interacting with the business. Attending to calls on time and reducing the time a customer is on hold is one efficient way of improving efficiency. It also means adopting the new technology to improve communication. CCaaS allows multichannel communication that allows customers to choose the most convenient channel for them.

5. CCaaS is an Analytical Tool

The software provides accurate analysis of calls. In short, businesses can easily keep track of missed calls, calls on hold, and voicemails. It is also easy to report these statistics, enabling the business to provide solutions without delay.

6. CCaaS Improves Agent Experience

CCaaS software is there to keep agents connected all the time. Whether they are in the organization premises or working from somewhere else, the solutions allow them to interact with the customers regardless. The software also comes with details that an agent can confirm to assist the customer based on their need. This reduces frustrations and disappointments. The provision of on-screen information helps an agent to know how well they can help the customer on the phone.

7. CCaaS Lowers Expenses

As mentioned earlier, CCaaS helps in lowering upfront costs and the overall costs of using a contact center. The lowered costs come from the fact that CCaaS:

  • Requires few staffs to manage
  • Has reduced interruption
  • Uses integrated tools of management

Cloud-based contact centers have fewer expenses compared to traditional centers.

8. CCaaS Facilitates Rapid Growth that May Not be Good for a Company

Although CCaaS does more good than harm, it has fewer issues that organizations need to look into. For instance, effective and improved communication improves operations that, in turn, leads to growth of production and services. The high demand for products or services may come as a surprise and in a way that the business had not prepared for.

9. CCaaS Faces Various Security Issues

Cybersecurity is a major issue in every business that uses the Internet. Cloud-based centers face this problem and businesses have to find ways to counter these risks. Data security is at risk and there are main concerns from the major decision-makers. That means, while using CCaaS, organizations must be cautious and use various ways of protecting both organization and customer data.

10. CCaaS can Affect the Revenue and Profits of an Organization if It’s Not Working Properly

Using the CCaaS software is one thing and maintaining its functionality is another. Organizations need to understand that the contact center can disrupt and cause redundancy if it malfunctions. This, in turn, affects the organizations’ revenue and the number of profits they make. Therefore, organizations must be cautious and ensure the software is providing resiliency in operations.

Conclusion

The variation of this software ensures that all businesses, whether big or small, can afford the contact centers. It is a useful way of helping businesses save money, manage their customer interaction, and improve operations. Each of these solutions has specific tools that help in achieving it.

How Outsourcing IT Services Can Bring You Great Financial Returns

How Capital One Is Helping Its Customers.jpg

When you are running a business, any time spent conducting activities that are not within your core competencies is time poorly spent, and perhaps even potential income is lost. By focusing your best talent on your core business, you can optimize productivity and ensure the best returns. This is where outsourcing can be a major boost. IT has become a staple in operations for almost every business and cannot be ignored. By delegating all IT, networking, security, etc. operations to an expert consulting firm, you can rest assured that the backbone of your business is in capable hands. Here are some of the strongest arguments in favor of hiring an IT consultancy firm.

Major Productivity Gains

When IT is not the core of your business, it is an enabler that allows you to go about your work, boost productivity, and open up avenues for conducting business. This reliance on IT infrastructure, however, means that you lose money every time there is a system outage. Unplanned downtime or system failure can cost corporations tens of thousands of dollars. Companies that handle on-premises IT infrastructure, report longer and more frequent failures. Hiring a corporate IT consultancy firm allows you to have failsafe methods to switch to in the event of a failure, as well as experienced and capable administrators to address these failures as soon as possible. The International Data Corporation (IDC) reports that businesses who delegate their IT service needs slash network and server downtime by more than 85%.

Major Savings in Infrastructure Costs

Hiring an IT company in Connecticut to handle your IT solutions means you do not need to purchase and maintain expensive IT infrastructure on-premises. Established providers will handle all your processing and storage needs in their data centers, and will be able to offer flexible pricing plans based on your needs and usage as well. The streamlined nature allows for great flexibility, smoother operations, and superlative savings. All your availability and security needs are met and the infrastructure can scale based on your need without any issues.

Expert Support Whenever You Need It

Having a support team at hand to address concerns means your own staff does not waste their time trying to debug or fix things that aren’t working. Your workers will likely be out of their depth, and this can be a source of frustration as well as a distraction from more productive tasks. Having an expert who can address the issue in a matter of minutes seems trivial, but can save a lot of hassle and thousands of dollars in the long run. According to Inc, managed IT services are typically more comprehensive than the software-as-a-service model (SaaS).

Advance time for administrators and experts

The outsourcing of programming advancement services gives a reasonable streamlining of the hour of chiefs and experts. This interaction additionally decreases work over-burden from a more suitable division of duties and expands the professionalization of cycles.

Organizations can guide human resources to truly significant and vital undertakings, for example, explicit dissects and reviews that work together basically to settle on the correct choices. Nonetheless, it should be focused on that all rethinking should be administered and checked by markers so that there is no chance of hazard to the organization.

Control Cash Flow

At the point when you re-appropriate, you convert a fixed expense (a full-time pay) into a variable expense (a compensation what-you-need administration). This opens up your income for interest in different pieces of your business.

You could channel that cash into improving your items or running advertising programs. This is particularly valuable at the beginning phases of new tasks, such as dispatching another item or venturing into another business vertical.

In the event that you have any financial backers (or plan to bring some installed later on), they’ll be satisfied to see loads of room in your income to put resources into income -creating exercises. An organization that isn’t outfitted by bulky fixed expenses rushes to adjust to novel thoughts or economic situations.

Besides, re-appropriating administrations free you from putting resources into innovation or custom framework. For example, by working with a re-appropriated plan studio, you wouldn’t have to buy your own photography gear or video altering programming. Those are the outsorcerer’s issues. Not making these speculations makes it a lot simpler for a private venture to contend.

Access to New Resources

Employing another colleague frequently requires costly enrolling and preparing. You need to show them your cycles and work processes (or create unique cycles only for them). You may need to put resources into their schooling, so they have the correct abilities for your business. At the point when you re-appropriate your business capacities, the specialist co-op accepts these expenses.

Outsourcers accompany expert information, mastery, and experience you were unable to stand to employ all alone. The outsourcer is liable for any licenses or accreditation that the work requires. By zeroing in on their claim to fame, rethinks keep up to date with industry changes and patterns, learn new strategies, and continually build up their abilities.

Besides, outsourcers approach abilities and apparatuses you may not need today however will sometime in the not-so-distant future. On the off chance that they don’t have somebody on staff who can tackle your concern, they probably have an organization of experts with integral abilities they can pull from. You don’t have such adaptability with in-house representatives.

For instance, suppose you have a planner in your group, however, represents considerable authority on paper materials. He’ll prepare an incredible handout, yet he doesn’t think a lot about computerized items.

At the point when it comes time for another site, your creator will not be a lot of help. On the off chance that you rethink your plan to work in an innovative office, in any case, you will approach creators with an expansive scope of abilities.

Conclusion

For businesses of any size, networking and other IT infrastructure is an absolute necessity. Rather than sinking a whole lot of time, money, talent, and effort into maintaining these themselves, business owners must consider outsourcing the difficult work to consulting firms that are much better positioned to handle it. This means you can be laser-focused on your core competencies and can be the stable foundation upon which you can build several successful ventures.
